
British School Girls Championships 2027
These Terms and Conditions apply to all schools entering athletes into the British School Girls Championships 2027 (“the Championships”) via the official entry form available at:
https://peakpass.co/event/british-schoolgirls-races-2027
By submitting an entry, the school confirms that it agrees to these Terms and Conditions in full.
1. Event Organiser
The Championships are organised by British School Girls Championships (“the Organiser”).
The Organiser reserves the right to amend these Terms and Conditions at any time where reasonably necessary for the safe and proper delivery of the event.
2. Eligibility
2.1 Entries are accepted from recognised primary and preparatory schools.
2.2 All participants must:

Be female pupils enrolled at the entering school at the time of the event.

Compete in the correct age category as defined in the official event information.
-
Meet any additional eligibility criteria published on the official website.
2.3 The Organiser reserves the right to request proof of age or school registration.
3. Entry Process
3.1 Entries must be submitted using the official online entry form.
3.2 Entries are only confirmed once:

The entry form has been fully completed, and
-
Full payment has been received.
3.3 Entry deadlines are final. Late entries may not be accepted.
3.4 The Organiser reserves the right to limit entries where capacity is reached.
4. Entry Fees & Payment
4.1 Entry fees are as stated on the official website.
4.2 Payment must be made by the method specified during the entry process.
4.3 Schools are responsible for ensuring correct fee payment at the time of entry.
4.4 Entries without full payment may not be processed.
5. Withdrawals & Refunds
5.1 If a school withdraws:
-
Before the published withdrawal deadline: a refund may be issued, less any administrative fee.

After the withdrawal deadline: no refund will normally be given.
5.2 No refunds will be given for:
-
Non-attendance on the day
-
Disqualification
-
Withdrawal due to illness or injury
-
Travel disruption
5.3 In the event of cancellation due to circumstances beyond the Organiser’s control (including but not limited to extreme weather, venue closure, or force majeure), the Organiser will determine refund arrangements at its discretion.
6. Safeguarding & Supervision
6.1 Schools are responsible for:

The supervision of their pupils at all times during the Championships.

Ensuring appropriate staff-to-pupil ratios.
-
Ensuring compliance with their own safeguarding policies.
6.2 The Organiser provides event-level safeguarding oversight but does not assume supervisory responsibility for individual pupils.
7. Health & Safety
7.1 By entering pupils, the school confirms that:

Each participant is medically fit to compete.

Appropriate parental/guardian consent has been obtained.
7.2 The Organiser reserves the right to refuse participation to any competitor deemed unfit to compete.
7.3 All participants must follow:

Event safety instructions
-
Venue rules
-
Instructions from officials and marshals
8. Code of Conduct
8.1 Schools are responsible for the behaviour of:

Pupils
-
Staff
● Parents and supporters attending with their delegation
8.2 Unsporting behaviour, abusive conduct, or failure to comply with event rules may result in:

Disqualification of individuals or teams
-
Removal from the venue
-
Exclusion from future events
9. Photography & Media
9.1 The Championships may be photographed and/or filmed.
9.2 By entering pupils, the school confirms that appropriate parental/guardian consent has been obtained for:

Event photography
-
Media coverage
-
Use of images for promotional purposes by the Organiser
9.3 Schools must inform the Organiser in advance of any participant who does not have media consent.
10. Data Protection
10.1 Personal data will be processed in accordance with applicable UK data protection legislation.
10.2 Data provided will be used for:

Event administration
-
Results publication
-
Safety and safeguarding purposes
10.3 Results (including participant name, school, and finishing position) may be published on the official website and in related media.
11. Liability
11.1 Participation is at the entrant’s own risk.
11.2 The Organiser shall not be liable for:

Loss or damage to personal property
-
Travel or accommodation costs
-
Indirect or consequential loss
11.3 Nothing in these Terms excludes liability for death or personal injury caused by negligence where liability cannot be excluded under law.
12. Event Changes
12.1 The Organiser reserves the right to:
-
Amend race distances
-
Alter the schedule
-
Change the venue within reasonable geographic proximity
-
Cancel the event if necessary
12.2 Any changes will be communicated via the official website and/or direct email to entering schools.
13. Race Bibs & Non-Returned Bibs
13.1 All competitors will be issued with an official race bib number for use during the Championships.
13.2 Race bibs remain the property of the Organiser and must be returned in accordance with the instructions provided on the day of the event.
13.3 Schools are responsible for ensuring that all bibs issued to their athletes are returned.
13.4 A charge of £80 per bib will be invoiced to the school for any bib not returned on the day of the event or within the timeframe specified by the Organiser.
13.5 The Organiser reserves the right to withhold results or future entry acceptance until outstanding bib charges are settled.
14. Ownership and Use of Images and Video Content
14.1 The Organiser and its appointed photographers and videographers may capture photographs, video recordings, audio recordings and other media during the Championships.
14.2 All intellectual property rights (including copyright) in any photographs, video footage, audio recordings and related media captured at the Championships shall belong exclusively to the Organiser.
14.3 The Organiser may use such content for legitimate promotional, marketing, editorial and commercial purposes, including but not limited to:

Creation of an official event video
-
Production of promotional films
-
Website content and stock imagery
-
Social media
-
Press releases
-
Marketing materials for future events
14.4 By entering pupils into the Championships, the school confirms that it has obtained all necessary parental/guardian consents permitting:

The capture of images and video of participating pupils
-
The use of such content by the Organiser in accordance with these Terms
14.5 The Organiser is not obliged to credit individual participants or schools in any published material.
14.6 Schools must notify the Organiser in writing in advance of the event if any participant does not have consent for media use. The Organiser will take reasonable steps to accommodate such requests but cannot guarantee complete exclusion from incidental background capture.
14.7 No payment, royalty, or other compensation shall be payable to schools, participants, parents, or guardians in respect of the use of such images or recordings.
15. Acceptance of Terms
Submission of an entry via the official entry form constitutes full acceptance of these Terms and Conditions.
